Automation · Replace Excel

The most important software in your business is an Excel file.

Replacing Excel processes means swapping shared files for small apps, SharePoint lists and workflows, and leaving Excel where it is strong: calculating and analysing. NordFlux moves the holiday list, the price calculation and the shift plan into one clean data source instead of automating Excel against its limits. That way every process has a current status for the whole team.

The problem

Your business depends on a file that only one person understands.

Excel is not the enemy. Uncontrolled copies are: as soon as a file goes around the company by email, there is no current status any more, only versions.

  • 01The price calculation is full of nested formulas built by a colleague who left long ago. Nobody dares to change it.
  • 02Holiday_list_final_v7_NEW.xlsx: three versions circulate by email, two colleagues have been granted the same period off.
  • 03The shift plan is printed on Friday and already out of date by Monday. Whoever falls ill calls in, and someone updates three files.
  • 04The order list, stock levels and invoicing live in separate files. The same data is typed in three times by hand, with three chances of a typo.
Use cases
01

Which Excel processes we replace.

We do not replace Excel, but the processes that only cause pain in Excel. Five cases we run into constantly in mid-sized companies.

01

Holiday and absence list

The shared file becomes a SharePoint list with an approval workflow: employees enter their requests, managers approve with a click, the team calendar updates itself. Double bookings are technically ruled out.

Impact No double bookings, no manual updates
02

Price calculation and quotation

The grown calculation file becomes a Power App with documented, verified calculation logic. Prices and mark-ups are maintained centrally by one person, everyone calculates with the same rules. We take care of the formula archaeology beforehand.

Impact Every quote with the same rules
03

Shift and deployment planning

Instead of an Excel printout on the notice board: a small app in which the plan is maintained centrally and everyone sees the current status on their phone. Changes reach the team instantly, not just on Monday.

Saving 2–4 h of plan maintenance per week
04

Project and order list

The status list circulating by email becomes a central list with owners, deadlines and status. Power Automate automatically reminds people of overdue items, instead of someone chasing them by phone on Friday.

Replacing Excel as a database

The file with 40,000 rows of customer or article data is not a database, it only pretends to be. We move the data into a clean source such as SharePoint, Dataverse or SQL and connect it to your existing systems via workflow.

Impact One source, all systems up to date
Solution paths

Small apps, workflows, clean data sources.

Three tools that replace shared files. Which one fits is decided by your process, not by our taste.

Apps instead of files
Power Apps

Small, tailored apps for entry and maintenance: everyone sees only what they need, nobody accidentally breaks a formula. Runs on the PC and on the phone, right inside your Microsoft 365 environment.

Workflows instead of cell magic
Power Automate

Approvals, reminders, handovers between systems: what someone used to read off the spreadsheet by hand now runs as a workflow. Also for automating Excel where the file stays for now.

Connect instead of copy
n8n

When data is copied back and forth between Excel, ERP, web shop or industry software, n8n connects the systems directly. Run on German servers on request, with full data sovereignty.

How we work

The 30-day model.

From the critical file to a running solution in 30 days, at a fixed price instead of an open timesheet.

1

Free initial analysis

60 minutes, no obligation: together we look at which Excel files are really critical and which can simply stay. Afterwards you know what the replacement will cost.

2

Week 1: understand the file

We document the logic behind the formulas, clean up the data and design the new data model. Even if the person who built the file left long ago.

3

Weeks 2 and 3: building in parallel operation

App, list and workflows take shape while the old file keeps running. Your team tests with real data and gives feedback before anything is switched over.

4

Week 4: handover and decommissioning

Training for the team, documentation for you, the old file is archived read-only. You can then maintain and adjust the solution yourself.

More than one file

When several areas depend on Excel at once.

If it is not just one file but half the administration that lives in spreadsheets, it is worth looking at the Power Platform as a whole: apps, workflows and analytics from a single mould. There we show how the building blocks work together.

Which Excel file should retire first in your business?

In the free initial analysis (60 minutes, no obligation) we find out which Excel process costs you the most time and what the fixed-price replacement will cost. You then decide at your leisure.

  • Fixed price instead of an open timesheet
  • Excel stays where it is good
  • Your data stays under your control
Frequently asked questions
05

What companies often ask about replacing Excel.
