AI agents · WhatsApp Business

Your customers read WhatsApp, not emails.

NordFlux builds your WhatsApp Business automation on the official WhatsApp Business Platform: appointment reminders, status updates and follow-up questions run automatically. An AI agent understands your customers' replies and triggers follow-up actions, such as rescheduling an appointment or requesting documents. With opt-in, approved templates and costs you know in advance.

The problem

The reminder email goes unread, the appointment falls through anyway.

Your customers reply on WhatsApp within minutes, to emails often not at all. Yet at most businesses, appointment reminders and status updates still run by email or phone.

  • 01Appointments fall through because the reminder gets lost in the inbox and no one has time to chase every customer by phone.
  • 02Status questions like “Is my order ready?” or “When is the technician coming?” interrupt your team all day long.
  • 03Customers message an employee's private phone, and arrangements get lost there with no link to the calendar or the job.
  • 04Missing documents trickle in bit by bit, and every follow-up costs a call or an email that again goes unanswered.
Use cases
01

What we build with WhatsApp Business automation, concretely.

Five workflows we implement for practices, workshops, trade businesses and service providers. Always with opt-in, always via the official interface.

01

Automatic appointment reminder, with reply understanding

24 or 48 hours before the appointment, an approved template message goes out. If the customer replies “works”, the appointment is confirmed. If they write “I can't make it”, the AI agent offers free alternative slots from your calendar and rebooks.

Impact Fewer no-shows
02

Status updates from your systems

Order ready, repair completed, goods arrived: as soon as the status changes in your inventory or workshop system, the customer gets the message on their phone. The status calls at your counter stop.

Savings 2–4 h per week
03

Request and collect documents

If a document is missing, the agent asks for it specifically: vehicle registration, proof of insurance, power of attorney. The customer photographs the paper and sends it in the chat, the agent files it with the right case and follows up if nothing comes.

Impact Complete case files
04

Understand questions instead of only offering buttons

The AI agent behind the channel understands free text: “Does Thursday work too?”, “What does that cost again?”, “Please send it to my wife”. It answers what it knows for certain and hands over to your team as soon as things get tricky, with the whole conversation.

Impact Handover with context
05

Fill cancelled appointments at short notice

If a customer cancels, the agent asks your waiting list: “We have a free slot tomorrow at 10 a.m., does that work?” Whoever says yes first gets the spot, and the calendar is updated right away. A gap becomes a paid appointment again.

Impact Fill gaps in the calendar
Solution paths

A WhatsApp bot for your company: the building blocks behind it.

A WhatsApp channel is only the surface. Behind it stand an AI agent that understands and acts, and an integration layer to your systems.

AI agents
The agent that understands the replies

A tool sends messages, an agent runs the conversation. It recognises whether a customer confirms, wants to reschedule or has a real question, and triggers the fitting follow-up action. You decide what it may decide on its own and when it hands over to people.

AI telephony
For everyone who prefers to call

Not every customer writes. A voice agent takes calls for appointment confirmation or status questions and works on the same calendar and the same data as the WhatsApp channel. Together, both channels cover almost all customer contacts.

n8n
The connection to calendar, CRM and inventory

So the agent can reschedule appointments and report status, it needs access to your systems. We build this integration layer with n8n: traceable workflows, run on servers in Germany on request. You can see at any time what happened, when and why.

How we work

The 30-day model.

From the initial analysis to the first live message in 30 days, at a fixed price instead of an open timesheet.

1

Free initial analysis

60 minutes, no obligation. We look at your no-shows, status requests and follow-up questions and check honestly whether a WhatsApp channel pays off for you.

2

Concept with ground rules

We define which messages run, how customers give their opt-in and what the agent may decide on its own. You also get the fixed price and an estimate of the ongoing conversation costs.

3

Setup and template approval

We set up the WhatsApp Business Platform, submit your message templates to Meta for approval and connect calendar, CRM or inventory. Testing is done with real cases from your everyday work.

4

Operation and handover

The channel goes live, we monitor the first weeks and fine-tune. You get everything documented and can carry on yourself, without being tied to us.

More than a channel

WhatsApp is the start, the agent behind it can do more.

The same AI agent that understands your WhatsApp questions can also pre-sort emails, prepare quotes or answer from your internal knowledge. If you want to see the bigger picture, start with our AI agents.

Frequently asked questions
05

What companies often ask about WhatsApp automation.

Darf ich meine Kunden einfach per WhatsApp anschreiben?

Nein, ohne Einwilligung dürfen Sie keine Nachrichten senden.

Was kostet WhatsApp Business Automatisierung laufend?
