Automation · DATEV connection

Your documents go to DATEV automatically instead of ending up in a box for the tax office at the end of the month.

NordFlux builds your n8n DATEV interface and automates the path from the incoming invoice into the DATEV world: capture documents digitally, pre-assign accounts and hand them over through interfaces like the invoice data service, document image service or DATEVconnect. And we tell you honestly upfront which registrations and approvals DATEV requires for this and what your tax office needs to contribute.

The problem

The way documents travel into accounting is often the slowest process in the company.

Invoices arrive by post, as email attachments and as phone photos from the technician. At the end of the month everything is collected and sent to the tax office, and then the chasing begins.

  • 01Documents are scattered across mailboxes, folders and desks, and nobody knows for sure what has already reached the tax office.
  • 02The tax office asks about missing documents weeks later, and then your team gathers up invoices from the previous month.
  • 03The same invoice is handled twice: once captured in your system, once retyped at the tax office.
  • 04Early-payment discounts lapse and reminders arrive because invoices sit in filing too long instead of in accounting.
Use cases
01

What we automate specifically around your DATEV connection.

Five workflows we build regularly for SMEs. Always with the goal that documents reach the DATEV world without detours and without retyping.

01

Capture and hand over incoming invoices automatically

Invoices from the central mailbox are read out automatically: creditor, amount, invoice number, line items. The structured data goes to Unternehmen online via the DATEV invoice data service, with the document image attached straight away.

Savings 3–5 h per week
02

Get paper documents and scans into Belege online

Receipts, delivery notes and mailed invoices are scanned or photographed and land automatically sorted in the DATEV document image service. Your tax office sees documents the same day instead of at month-end.

Impact No more box of documents
03

Pre-assignment with a booking proposal

The workflow recognises recurring creditors and proposes a G/L account and cost centre according to your rules. The tax office receives documents with a booking proposal instead of loose images and has to ask back far less often.

Impact Fewer queries from the tax office
04

Outgoing invoices from ERP and merchandise management to DATEV

Invoices from your merchandise management system or your trades software are handed over to DATEV automatically as invoice data plus a document image. No more manual export, and the outgoing invoice ledger is complete.

Savings 2–3 h per week
05

Open items back into day-to-day business

Via DATEVconnect we pull payment status and open items from accounting back into your system. Your sales team sees which customer has paid and where a payment reminder is due, without calling accounting.

Impact Dunning without shouting across the room
Solution paths

n8n, UiPath or Power Automate: three paths to your DATEV interface.

Which path fits depends on your systems and on which DATEV interfaces can be enabled for you. We check that in the initial analysis before we build anything.

Self-hosted workflows
n8n

Our standard for document workflows: n8n reads out mailboxes and file storage, extracts invoice data and talks to the DATEV data services through their interfaces. It runs self-hosted on German servers, and every step stays traceable.

Robots for legacy systems
UiPath

If your legacy system has no export or a DATEV interface is out of the question, a UiPath robot works on the interface: it operates the programs like an employee, only without typos and even at night.

Microsoft 365 world
Power Automate

If your documents already sit in Outlook mailboxes and SharePoint storage, Power Automate builds the document intake directly in your Microsoft environment: check the intake, obtain approval, trigger the handover to the DATEV workflow.

How we work

The 30-day model for your DATEV connection.

From analysis to the running document workflow in 30 days, at a fixed price instead of an open-ended timesheet.

1

Free initial analysis

In 60 minutes we map out your document flows: where invoices arrive, who handles them, what your tax office uses. Afterwards you know which DATEV interface is realistic for you.

2

Concept, approvals and fixed price

We clarify the DATEV registration and the necessary approvals and coordinate the process with your tax office. You receive a fixed-price offer with a clear scope.

3

Implementation in parallel operation

We build the workflow and let it run through a real accounting cycle alongside your existing process. Only once the tax office and accounting are satisfied do we switch over.

4

Handover and operation

You receive documentation, training and, on request, ongoing support. The workflows belong to you, and you stay in control.

More than accounting

The document workflow is often just the beginning.

Anyone who has automated the path to the DATEV world usually finds more processes with the same pattern: quotes, order confirmations, HR documents. On the overview page we show what else process automation takes off SMEs' hands.

Free initial analysis

How many hours does the month-end close really cost you?

In the free initial analysis we work it out together: 60 minutes, no obligation. You will learn which DATEV interface fits your systems and what the implementation costs at a fixed price.

  • A clear statement on which DATEV interface is realistic for you

Frequently asked questions
05

What SMEs often ask about the DATEV connection.

What prerequisites do I need to automate a DATEV interface?

You generally need DATEV Unternehmen online as well as a registration of the interface with DATEV, for example for the invoice data service or the document image service. In addition, approvals must be granted by your tax firm as a DATEV member. We don't handle these steps secretly on your behalf, but clarify them together with you and your tax firm before implementation.

Does my tax firm need to cooperate on the DATEV connection?

Yes, it doesn't work without your tax firm, because it manages the DATEV environment and must grant approvals. In our experience, tax firms are usually glad to receive structured documents with a posting suggestion instead of loose PDF collections. We handle the technical coordination with the tax firm so you're not caught in between.

What do I do if my system has no DATEV interface?

Then there are two routes: either we generate formats that DATEV understands directly from your system, or a UiPath robot operates your program's interface like an employee and transfers the data. The second route is more robust than its reputation and often the only option with older industry-specific software. Which route works is assessed in the initial analysis.

What does it cost to transfer documents automatically to DATEV?

It depends on your document volume, your systems and the chosen interface, so we won't quote a flat rate out of the blue. After the free initial analysis, you get a fixed-price offer for implementation under the 30-day model. On top come ongoing costs for DATEV services, which DATEV itself charges and which we list transparently.

Where does my invoice data run in an automated DATEV connection?

We operate the workflows self-hosted on servers in Germany on request, so your documents don't travel through US cloud services. The transfer to DATEV runs via the official DATEV interfaces into the DATEV data center. Every processing step is logged and traceable for you.
