Automation · Tax Firms

Automate your tax firm: routine work out, time back for client work.

NordFlux builds digital employees that automate your firm's processes: chasing receipts per client, pre-sorting the inbox, monitoring deadlines and follow-ups. DATEV stays your system of record, we automate everything around it. Hosted in the EU, with full data sovereignty.

The problem

Your specialists do work that doesn't need specialists.

Your team chases receipts, answers the same question for the tenth time and keeps deadline lists by hand. At the same time, you haven't found a tax assistant for months.

  • 01Collecting receipts costs days every month: reminding, chasing, reminding again, one client at a time.
  • 02Clients call and email asking about status, documents and appointments, always the same information.
  • 03Deadline control runs on Excel lists, sticky notes and word of mouth, and every missed deadline is a liability risk.
  • 04The inbox mixes tax office mail, client receipts and time-critical matters, and someone has to sort it all by hand.
Use cases
01

Automate firm processes: five starting points.

We start where the most time drains away in tax firms. Every workflow is tested with real cases from your firm.

01

Automatic receipt chasing

The system recognises per client which receipts are missing for bookkeeping or the annual accounts and reminds them automatically by email: friendly, in your firm's tone, with escalation after the deadline passes. Your team only follows up where truly nothing comes in.

Saving 3–5 h per week
02

Pre-sort the inbox

Incoming emails and scanned mail are classified automatically: tax office, client, time-critical matter. Time-critical matters go straight to the responsible person, the rest into the right client folder.

Saving 1–2 h per day
03

Deadline and follow-up monitoring

Deadlines from notices and letters are recorded, monitored and escalated in time. Follow-ups remind the responsible person automatically instead of getting lost in an Excel list.

Impact No deadline risk by word of mouth
04

Internal knowledge assistant

An AI assistant that works solely on your firm's knowledge: work instructions, templates, client history. New employees ask the assistant instead of the colleague who is stuck in the annual accounts right now.

Impact Faster onboarding
05

Client onboarding

New engagements go through a fixed workflow: capture master data, request powers of attorney, set up access, send the document checklist. Nothing is forgotten, nothing is created twice.

Saving 2–3 h per engagement

If your firm works with Outlook, Teams and SharePoint, we automate right there: mailbox rules, filing structures, follow-ups. Without an extra system your team has to learn.

When the firm's knowledge hangs on two heads.

Often the bottleneck isn't the process but the knowledge: how do we handle client X, where is the current template? An internal knowledge assistant makes firm knowledge queryable before the next specialist leaves.

Frequently asked questions
05

What tax advisors often ask.

Do we have to replace DATEV if we automate our practice processes?

No, DATEV remains your leading system. We automate the processes around it: incoming mail, email communication, reminders, document filing. The automation feeds into your practice software instead of displacing it.

Is automation compatible with professional confidentiality obligations?

Yes, if the architecture is right. We host on EU servers or on your own infrastructure, sign a data processing agreement, and do not pass client data to AI models for training. You can see at any time which system processes which data.

Does automation help against the shortage of skilled staff in tax practices?

It does not replace tax clerks, but it gives your existing staff hours back. Anyone who no longer has to phone clients for missing receipts and sort mail can handle more clients with the same team. And a practice without dull routine work is also more attractive to applicants.

What does the digitalization of our tax practice cost?

That depends on which processes you want to automate, which is why we only give prices after the free initial analysis. But then it is binding: a fixed price per project instead of an open-ended timesheet. Many practices start with a single process, such as the automated receipt follow-up.

Do our clients notice that automation is behind it?

They mainly notice that things go faster. Reminders and status updates go out in the tone of your practice, and wherever things become technical, a human continues to take over. You decide yourself what is sent automatically.
