Impact No lead loss on API errorsAs a GDPR-clean alternative to Zapier and Make, we rely on n8n, self-hosted in Germany on request, or on Power Automate within the Microsoft stack. Zapier and Make are good entry-level tools, but at some point requirements grow beyond them. Self-hostedOpen-source automation, hosted in Germany or directly on your premises. No cost per run, full control over data and logic, and even complex branches and custom processing steps can be mapped cleanly.
Microsoft 365If your processes already run in Outlook, Teams and SharePoint, Power Automate is often the shorter path. The license is often already included in the existing M365 package, one less tool in the subscription stack.
Sometimes the inventory shows: the real problem is not the tool but the process behind it. Then it pays off to look at automation as a whole before migrating.

Zapier lässt sich mit Auftragsverarbeitungsvertrag und Standardvertragsklauseln grundsätzlich DSGVO-konform einsetzen, die Daten laufen aber über Server eines US-Anbieters. Bei Kundendaten, Bewerbungen oder Gesundheitsdaten bewerten viele Datenschutzbeauftragte das kritisch. Eine selbst gehostete Alternative wie n8n in Deutschland nimmt diese Diskussion komplett vom Tisch, weil die Daten Ihre Infrastruktur nicht verlassen.
Eine typische Migration mit 10 bis 30 Zaps dauert bei uns rund 30 Tage inklusive Parallelbetrieb. Die Bestandsaufnahme braucht ein bis zwei Tage, der Nachbau je nach Komplexität ein bis zwei Wochen, danach laufen alt und neu zwei bis vier Wochen nebeneinander. Einzelne einfache Zaps sind auch in wenigen Tagen umgezogen.
Wenn Sie wenige einfache Workflows mit geringem Volumen und ohne sensible Daten betreiben, ist ein Wechsel meist unwirtschaftlich. Zapier und Make sind für diesen Einsatz gute Werkzeuge, und ein Umzug kostet Zeit und Geld, die sich dann nicht amortisieren. Genau das prüfen wir in der Erstanalyse und sagen es Ihnen auch so.
Bei self-hosted n8n zahlen Sie keine Gebühr pro Ausführung, sondern nur den Server, je nach Größe meist ein niedriger zweistelliger Betrag pro Monat, plus gelegentliche Wartung. Wenn Ihr Betrieb bereits mit Microsoft 365 arbeitet und die Workflows vor allem Outlook, Teams, SharePoint oder Excel verbinden. Dann ist die Lizenz oft schon vorhanden, die Anmeldung läuft über Ihre bestehenden Microsoft-Konten und die IT muss kein zusätzliches System betreiben. Für Workflows quer über viele Nicht-Microsoft-Systeme ist n8n meist die flexiblere Wahl.
