What is the difference between Microsoft 365 Copilot and a Copilot Studio Agent?

Microsoft 365 Copilot is the ready-made assistant in Word, Outlook and Teams, a Copilot Studio Agent is a custom-built AI employee for a specific task area. The agent knows exactly the knowledge sources you give it, follows your rules and can trigger actions via Power Automate. Both complement each other: one helps every individual with their work, the other takes over a defined job for the whole team.

Which licenses do we need to use Copilot Studio Agents?

Copilot Studio is licensed separately, you do not need a Microsoft 365 Copilot license for every user. Depending on the use case, a capacity or per-message consumption model fits, and for teams with existing Copilot licenses certain agents are already covered. Which variant is most cost-effective for you, we check in the free initial analysis based on your existing contracts.

Does our data stay in our own tenant and who is allowed to see what?

Copilot Studio Agents run in your Microsoft 365 tenant, your content does not leave the Microsoft environment and is not used to train third-party models. We configure the agents so that they respect the existing SharePoint permissions via Entra ID: whoever is not allowed to open a document also does not get it from the agent. In addition, we document guardrails for which topics the agent answers and where it hands over to a human.

What does it cost to have a Copilot Studio Agent built?

The price depends on the number of knowledge sources, the desired actions and the state of your SharePoint repository, which is why we only name it after the free initial analysis. After that, you get a fixed-price offer in the 30-day model instead of an open timesheet. A first agent with one clean knowledge source is significantly smaller than an agent with several system connections.

Can we maintain the agent ourselves after handover?

Yes, that is explicitly the goal of the handover. Copilot Studio is a low-code environment: connecting new knowledge sources, adding topics and refining answers is something your team can do itself after our training. For new actions with Power Automate connections or larger changes, we remain available, but no ongoing support obligation arises.
