Automation · Freight forwarding & logistics

In dispatch, everything rings at once. We automate the routine.

NordFlux captures transport orders from emails and portals in a structured way, sends status updates automatically and assigns delivery notes, CMR and POD to the right shipment. Your transport management system stays, we connect everything around it. Drivers are not burdened with new technology.

The problem

Dispatch is the collection point for everything that can go wrong.

Status requests, orders by email and fax, freight documents and demurrage disputes all come in at the same time. Every interruption costs time that is then missing for the actual dispatch work.

  • 01„Where is my shipment?“: The phone never stops, even though the status has long been in the system.
  • 02Transport orders arrive as email, PDF, fax or via portals and have to be typed into the TMS by hand.
  • 03Delivery notes, CMR and proof of delivery are scattered across photos, email attachments and paper instead of being with the shipment.
  • 04Billing is delayed because receipts and POD first have to be laboriously gathered together.
Use cases
01

What we concretely automate in freight forwarding and logistics.

We start at the points that eat up time every day. Everything runs docked onto your existing TMS, not past it.

01

Capture transport orders automatically

Orders from emails, PDF attachments and portals are read out and transferred into the TMS in a structured way: sender, recipient, loading point, dates, weight. Dispatch only checks instead of typing.

Saving 2–4 h per week
02

Status updates instead of callbacks

Customers are notified automatically when the shipment status changes: picked up, out for delivery, delivered. The „where is my shipment?“ calls drop noticeably, because the answer is already there before anyone asks.

Impact 20–40 fewer calls per day
03

Assign freight documents digitally

Delivery notes, CMR and proof of delivery are captured by photo or scan, read out and automatically assigned to the matching shipment. At month-end everything is on the right order, without searching through email inboxes.

Saving 3–5 h per week
04

Speed up billing

As soon as POD and receipts are in, the automation compiles the billing documents per order and flags any missing proof. Invoices go out earlier, and the money comes in earlier.

Impact Invoice run days earlier

Freight exchange and portal routine

Recurring actions on freight exchanges and shipper portals are handled by a software robot: pull offers, transfer data, keep status updated across several portals. Your people no longer maintain the same data in five interfaces.

Saving 2–3 h per week
Tools

What we use to connect the logistics processes.

We choose the tool by use case, not by trend. Always so that your TMS remains the leading source.

Workflows
n8n as the connecting layer

n8n links mailbox, portals, TMS and accounting into end-to-end paths: order in, status out, document assigned. On request it runs on a server in Germany, so your shipment data stays in-house.

Robotics
UiPath for portals without an interface

When a freight exchange or shipper portal has no API, a UiPath robot operates the interface like a human: log in, read out, transfer. That way we also automate legacy systems that would otherwise block progress.

Telephone
AI telephony for the status hotline

An AI phone assistant takes status and appointment requests, reads out the shipment status and only passes on genuine matters to dispatch. The line runs around the clock, even when no one is at their desk.

How we work

The 30-day model.

In 30 days from analysis to running automation, at a fixed price instead of an open time sheet. You know in advance what it costs and what you get out of it.

1

Day 1–5: Initial analysis

We look at dispatch, order intake and billing and mark the points with the greatest loss of time. The result is a clear picture of where automation pays off first.

2

Day 6–10: Fixed-price offer

You receive a concrete implementation plan with a fixed price. No open time sheet, no surprise at the end of the month.

3

Day 11–25: Implementation

We build the paths docked onto your TMS and test with real orders. Your dispatch team is involved so that the workflows fit day-to-day operations.

4

Day 26–30: Handover

We go live, accompany the first days in real operation and hand over clear documentation. You keep control and can carry on yourself.

Not quite the right fit?

Other processes than dispatch and freight?

Perhaps your biggest time drain isn't in shipment handling but in procurement, HR or reporting. On the overview of process automation you can see how we approach those areas.

Free initial analysis

Where does your dispatch lose the most time?

In the free initial analysis we spend 60 minutes going through your workflows and show concretely what can be automated. No obligation and without you having to touch your TMS.

  • Fixed price instead of an open time sheet
  • Your TMS stays, we only connect
  • Data sovereignty in Germany, self-hosting possible
Frequently asked questions
05

What freight forwarders and logistics companies often ask.
