Automation · Construction companies

In your construction company, no information gets lost between the site and the office any more.

Automation in a construction company connects the systems you already use and takes over the stretch from the enquiry to the final invoice, without everyone having to learn new software. In concrete terms, it handles quotes with follow-up chains, variation orders with deadlines and site photos that file themselves.

The problem

The site is running, the office can't keep up.

The crews are out, the phone is ringing, and in the evening there is a pile of notes and photos in the office. Whatever isn't handled straight away drops out of sight: enquiries, variation orders, records.

  • 01Enquiries come in by phone, email and word of mouth, and some fizzle out before a quote even goes out.
  • 02Quotes are sent and never followed up, and the job goes to the competitor who got back in touch one more time.
  • 03Variation orders are agreed verbally on site but not notified and not documented, so money is missing from the final invoice in the end.
  • 04Site logs, photos and delivery notes are spread across five phones and three folders, and when there is a defect complaint the office spends hours searching.
Use cases
01

What we automate specifically in construction companies.

Five stretches of work that get left undone in almost every construction firm. Each of them can be implemented on its own, with your existing systems.

01

Enquiry to quote with a follow-up chain

Every enquiry lands in the CRM automatically, with trade, property and contact person. After the quote, a follow-up chain starts: a reminder after a few days, a follow-up email, a task for the site management or the boss. No quote is left unanswered any more.

Savings 2–4 h per week
02

Variation order management with deadlines

The site manager reports the variation order via a mobile form, the system creates it in the project, generates the variation notice and monitors the deadlines from the construction contract or VOB/B. You can see at any time which variation order has been notified, quoted or commissioned.

Impact No variation order slips through
03

Site documentation that files itself

Photos and daily reports from the phone are automatically assigned to the right construction project, sorted by date and stored in your project archive, for example in SharePoint. In the event of a defect complaint or a query, the documentation is found in minutes instead of hours.

Savings 1–2 h per week and site
04

Subcontractor and supplier documents

Exemption certificates, clearance certificates, A1 certificates: the system monitors their validity, automatically requests expiring records from the subcontractor and lets you know when something is missing, before the crew is on site.

Impact Complete records with no gaps
05

Progress invoices and outstanding items

Based on construction progress or payment schedule, the system reminds you of due progress invoices and prepares the draft with the project data. Outstanding items are followed up automatically and politely, before they weigh on your liquidity.

Impact Money comes in sooner
Tools

Software for construction companies: automation with what you already use.

We don't put a new isolated solution next to your industry software. We connect CRM, email, filing and costing so that data only has to be entered once.

Connector
n8n as the hub

n8n connects your CRM, email inbox, industry software and filing, hosted in Germany on request. It runs the follow-up chain, photo filing and deadline monitoring, without anyone having to click.

Office standard
Microsoft 365 and SharePoint

Many construction firms have long been working with Outlook, Teams and Excel. We build on that: project folders in SharePoint, automatic filing of reports and photos, approvals directly in Teams.

Overview
Process automation by NordFlux

Which stretch comes first is decided by the bottleneck, not by the tool. On the overview page we show how we analyse, prioritise and automate processes at a fixed price.

How we work

The 30-day model.

From the initial analysis to running automation in 30 days, at a fixed price instead of an open timesheet.

1

Free initial analysis

60 minutes, no obligation. We go through your stretch from enquiry to final invoice and find the workflow that costs you the most time or money.

2

Concept and fixed price

You receive a quote with a fixed scope and a fixed price. It states which systems we connect and what will run automatically in the end.

3

Delivery in 30 days

We build the automation and test it with your real cases, together with the office and site management. Operations carry on as normal throughout.

4

Handover and control

You receive documentation and training, and every automation is traceable. You keep control and can carry on working on it yourself.

When it should go broader

More than construction: automation for the whole business.

Accounting, HR, vehicle fleet: the same building blocks also work away from the construction site. On the Process automation service page you can see the full picture.

  • Your data stays in your systems, hosting in Germany possible
  • You keep control and can carry on working on it yourself
Frequently asked questions
05

What construction company owners often ask.

Do we need to switch our construction software for digitalization?

No. We automate around your existing industry software, your email inbox, and your file storage. Digitalization in construction companies rarely fails because of the software itself, but because of the gaps in between, and that is exactly what we close.

Is a CRM worthwhile for a construction company with 10 to 50 employees?

Yes, as soon as inquiries regularly go unanswered or offers are not followed up. A CRM with automation ensures that every inquiry is captured and every offer is followed up. The benefit comes less from the software than from the follow-up chain behind it, and that is what we set up.

How do site photos automatically end up in the right project file?

The site manager uploads photos and reports via a simple app or a Teams channel, the automation sorts them by project and date and files them in the project storage. No one has to sort photos from their phone in the evening, and in the event of a defect claim, the documentation is complete.

Does automation also help with supplementary claims and VOB deadlines?

Yes, with the organizational side: recording supplementary claims, generating notices, monitoring deadlines and status. What belongs in terms of content in a notice and a supplementary offer is something you clarify with your construction lawyer. We do not provide legal advice, but we make sure that no supplementary claim and no deadline is ever missed.

What does automation cost in a construction company?

We work at a fixed price: after the free initial analysis, you receive an offer with a fixed price and fixed scope. Typically, the first building block is implemented in 30 days, after which you decide whether and where to continue. So you know the cost in advance, instead of paying an open timesheet.
