Automation · Onboarding

Automating onboarding means the laptop is on the desk on day one.

Automating onboarding means letting a single trigger, such as the signed contract, set off the entire follow-up chain: task packages, IT tickets, calendar invitations and folder structures. NordFlux builds this chain for new employees, clients and projects, instead of running it through notes, Excel and word of mouth the way it works today. No one has to remember that someone else has to remember.

The problem

The first working day starts with waiting.

The contract is signed, then nothing visible happens for weeks. On day one the new colleague stands in front of an empty desk, and three departments point at each other.

  • 01The laptop, account or key is missing on day one because the order hung on an email that no one read.
  • 02The onboarding checklist lives in Excel or on paper, every department keeps its own version, none is up to date.
  • 03IT learns about the new hire in the hallway and sets up access under time pressure, while briefings and appointments slip further back.
  • 04When someone leaves, VPN access, mailbox and software licences stay open for months, because offboarding belongs to no one.
Use cases
01

Automate onboarding: these are the chains we build.

One trigger, one defined chain, clear owners. These are typical workflows from our projects.

01

Employee onboarding from signature onwards

As soon as the signed employment contract comes back, the chain starts: task packages for HR, IT and the relevant department, calendar invitations for day one, a welcome email with all the information. Every step has an owner and a deadline.

Savings 3–6 h per new hire
02

Create IT tickets and access automatically

From the master data, tickets are created automatically for the user account, Microsoft 365 licence, group memberships and hardware order, scheduled to the start date. IT works through a clear list instead of sorting through word of mouth.

Impact Laptop and access ready on day one
03

Generate the onboarding checklist automatically

From a maintained template, a checklist is created for each new hire in Microsoft Planner or your task tool, with owners, deadlines and automatic reminders. Briefings such as occupational safety or data protection are tracked until they are done.

Savings no Excel upkeep, no chasing by phone
04

Client and project onboarding

A new client or a new project triggers the same mechanism: a folder structure in SharePoint to your standard, a Teams channel, a kick-off appointment with the right people, a welcome email to the client. Every project starts equally clean.

Savings 1–2 h per project start
05

Offboarding with a cut-off date

The leaving date starts the reverse direction: access is revoked on the cut-off date, licences are released, forwarding is set up, hardware return and handover tasks are scheduled. At the end there is a record proving that nothing was left open.

Impact no open access after departure
Tools

Digitalise your employee onboarding process with tools you most likely already have.

Most SMEs do not need new HR software. We build the chain with what is already included in your Microsoft 365 contract, and only add where something is missing.

Microsoft standard
Power Automate

The trigger comes from a form, list or mailbox, and Power Automate distributes tasks, tickets and appointments from it. It runs in your Microsoft 365 environment, without an additional server landscape.

Your existing environment
Microsoft 365: Planner, Teams, SharePoint, Entra

Checklists in Planner, folder structures in SharePoint, communication in Teams, accounts and access via Entra ID. We connect these building blocks so that onboarding runs by itself within them.

Beyond Microsoft
n8n for systems outside Microsoft 365

If your HR administration, time tracking or ticketing system does not come from the Microsoft world, n8n connects the systems. Self-hosted on request, so that personnel data never leaves your house.

How we work

The 30-day model.

From the first conversation to a running onboarding chain in 30 days, at the fixed price agreed beforehand.

1

Free initial analysis

60 minutes: we go through your onboarding as it works today, from the signed contract to the first working day, and find the points where it gets stuck.

2

Concept and fixed price

You get the planned chain in black and white: trigger, steps, owners, systems. Along with a fixed price instead of open timesheets.

3

Implementation

We build the automation in your environment and test it with a real new hire or a trial run before it goes live.

4

Handover and control

Your team learns to adjust checklist templates and workflows themselves. You keep control, and we remain available as a contact on request.

Thinking ahead

Onboarding is rarely the only chain that gets stuck.

Leave requests, approvals, document filing: if more runs by word of mouth in daily work than just onboarding, it is worth looking at your entire Microsoft 365 environment. That is usually where the fastest further automations lie.

Frequently asked questions
05

What managing directors and HR often ask about onboarding.

Do we need our own HR software to automate onboarding?

No, in most SMEs the existing Microsoft 365 environment with Power Automate, Planner and SharePoint is enough. If you already use HR software such as Personio, we use it as the trigger and build the chain behind it. You only buy new software if something is genuinely missing.

What does it cost to automate onboarding?

You get a fixed price after the free initial analysis, depending on how many systems and steps are part of your chain. A pure employee onboarding in Microsoft 365 is significantly smaller than a chain spanning HR software, ticketing system and hardware ordering. There are no open timesheets with us.

How long does it take until our onboarding runs automated?

Usually 30 days from the order to the running chain, that is how our model is built. The precondition is that your current process is captured cleanly in the initial analysis and the people responsible are reachable for questions. Very branched chains spanning many systems can take longer, and we tell you that in advance.

Does the automation also cover offboarding?

Yes, and it is often the more important part, because open access after departure is a real security risk. The departure date automatically triggers the revocation of access, the release of licenses and the return of hardware. At the end, a log documents that all steps have been completed.

How secure is personnel data in an automated onboarding process?

The chain runs in your own Microsoft 365 environment or, on request, with self-hosted n8n on German servers; personnel data does not travel to third-party services. We control access via permissions so that salary data does not end up with IT and ticket data does not end up with HR. Every step is traceably logged.
