Automation · Staffing and Temporary Employment

Less administration in the personnel office, more time for scheduling and applicants.

NordFlux automates the recurring administration in staffing and temporary employment: collecting timesheets from assignments, preparing payroll, tracking statutory deadlines, and registering applicants quickly. Your scheduling and the selection of candidates stay in your hands; we take care of the paperwork around it.

The problem

The paperwork is always one step behind payroll.

Staffing agencies thrive on fast scheduling, but lose time to timesheets, deadlines, and applicant drop-off. Every timesheet that comes back late delays both pay and the client invoice.

  • 01Timesheets from assignments come back late or incomplete, and payroll depends on chasing them up and retyping them.
  • 02The 18-month maximum assignment duration and the equal-pay deadline after nine months must be tracked per employee and assignment; in Excel this is error-prone and costly if breached.
  • 03Applicants drop out because the first response takes too long, while scheduling and recruiting compete for the same candidates.
  • 04Mandatory documents such as occupational health checks, qualification proofs, and briefings expire without anyone tracking the deadlines centrally.
Use cases
01

What we concretely automate for staffing agencies.

We focus where administration repeats and deadlines hurt. Scheduling and the selection of people remain your decision; we only deliver the groundwork.

01

Collect timesheets digitally

Timesheets from client assignments are captured digitally, confirmed by the client company, and prepared for payroll and client invoicing. Your payroll run starts with a complete batch instead of a round of phone chasing.

Savings 1–3 h per week
02

Monitor AÜG deadlines automatically

The system keeps track of the maximum assignment duration and the equal-pay deadline for every assignment and alerts you in good time before a deadline is reached. Compliance no longer depends on an Excel column and a single person.

Effect no missed deadline
03

Speed up applicant onboarding

New applications are captured, confirmed immediately, and provided with an appointment and a document checklist. Especially when skilled workers are scarce, a fast first response decides whether someone joins you or a competitor.

Effect faster response
04

Support scheduling with matching suggestions

The availability and qualifications of your staff are matched against open assignments and compiled into a suggestion list. Assignment decisions stay with your scheduling team, but they no longer start from zero, they start from a vetted shortlist.

Savings less searching per assignment
05

Track mandatory documents and health checks

Occupational health checks, qualification proofs, and briefings are managed centrally with their validity periods and alert before they expire. This way no one goes on assignment with an expired health check, and the records are instantly available for an audit.

Effect no expired records
Solution paths

What we use to implement this in temporary staffing.

We build on tools that match your data protection needs and connect your existing staffing software instead of replacing it.

n8n
Connect staffing software and payroll

With n8n we chain your industry software such as zvoove or Landwehr together with time tracking, payroll, and email into traceable workflows. Every step is visible, and EU hosting and self-hosted setups are possible, so applicant and assignment data stay in Germany.

AI Telephony
Reach applicants and clients around the clock

An AI phone assistant takes applicant and client calls outside office hours in a structured way and sorts them by topic. Prospects no longer go unanswered; your scheduling team gets a clean list in the morning instead of missed calls.

Knowledge Assistant
AÜG and pay scale at your fingertips

The internal knowledge assistant answers questions about temporary employment law, iGZ or BAP pay scales, and your own processes, with source references from your documents. New staffing coordinators find their way around faster, without tying up the branch manager for every question.

How we work

The 30-day model.

We start with a clearly defined workflow at a fixed price instead of an open-ended timesheet. After 30 days, the first workflow is live.

1

Free initial analysis

In 60 minutes we look together at where administration costs your branch the most time, for example in timesheet returns or deadline monitoring. You get an honest assessment of what is worthwhile and what is not.

2

Fixed-price offer

We propose the first workflow, for example timesheet capture or AÜG deadline monitoring, and quote a fixed price. You know in advance what it costs and what you get.

3

Implementation with your software

We connect the automation to your existing staffing software and payroll and test it with real assignments. Applicant and assignment data remain data-minimized and stay in EU hosting.

4

Handover and control

Your team is briefed and always keeps an overview of what the automation does. You can trace every step and intervene when needed.

If recruiting is the bottleneck first

Get applicant flow under control first?

If recruiting is your main bottleneck, it is worth looking at automated applicant management as a first step. You speed up the first response without immediately rebuilding your entire administration.

Where does your branch lose the most time?

In 60 minutes we look together at your administration and tell you honestly where automation in temporary staffing gets you time back. The initial analysis is free and non-binding.

  • Applicant and assignment data data-minimized, EU hosting
  • Fixed price instead of an open-ended timesheet
  • You keep control over every step
Frequently asked questions
05

What staffing agencies often ask.

Do we have to switch our staffing software?

No. We connect the automation to your existing staffing and payroll software such as zvoove or Landwehr instead of replacing it. Your schedulers keep working in their familiar programs; the automation only takes over the supporting work in between.

How does the system monitor the maximum assignment duration and equal pay?

The system tracks the relevant deadlines for each employee and assignment and alerts you in good time before a deadline is reached. The 18-month maximum assignment duration and the equal-pay deadline after nine months are set out in the AÜG, and we implement these rules according to your specifications. The legal assessment in individual cases remains your responsibility; the system ensures that no deadline passes unnoticed.

What about applicant and employee data?

Applicant and assignment data is personal and particularly sensitive, so we work on the principle of data minimization. The systems run on EU hosting, self-hosted setups are possible, and the automation only sees the data it actually needs for the respective step.

Do client companies need to change anything to confirm timesheets digitally?

The effort for your client companies stays small. The client company confirms the timesheets via a simple link or by replying to an email, without installing any software. For individual clients who insist on paper, the previous process remains possible; the rest already run digitally.

Is there funding available for a project like this?

NordFlux is not listed in the BAFA consultant register, so consulting by us is not eligible under this programme; anyone wishing to use the subsidy needs to commission a registered consulting firm. Concrete options are best discussed in the free initial analysis.
