What managing directors often ask about email automation.

Will our emails then be answered completely automatically?

No, by default the AI only creates a reply draft that a human reviews and approves. We use fully automatic replies only where you explicitly want them, for example for receipt confirmations or status information. You set the rule for that, not the AI.

What happens if the AI misclassifies an email?

Uncertain cases end up in a review list that a human decides on, instead of being forwarded incorrectly. Every assignment is traceably logged, and corrections feed back into the recognition. In the first weeks, the system therefore deliberately runs with tight rules and is gradually loosened.

Is email automation with AI even feasible in a GDPR-compliant way?

Yes, if the architecture is right. We rely on operation in the EU or on self-hosted systems like n8n on German servers, with a data processing agreement and a clear rule on which data an AI model even sees. Personal content can be masked before processing.

Does this work with Outlook, Gmail and our inventory management system?

Yes, we connect Outlook and Microsoft 365, Gmail as well as common CRM, ticketing and inventory management systems via their interfaces. Older systems without a modern interface can usually also be connected, which we check in the initial analysis. Your team then continues working in the familiar programs.

What does it cost to automate our inbox?

This depends on the mail volume, the number of connected systems and the scope of the building blocks, which is why we only name a price after the free initial analysis. That price is then fixed, though: a fixed price instead of an open-ended timesheet. As a digitalization consultancy, we also help with funding options such as the BAFA grant.
