Automation · Email

From now on, your inbox does the groundwork for you.

Email automation means an AI pre-sorts your shared mailbox: recognising requests, routing them to the right person, preparing reply drafts from your knowledge base and passing invoices or orders straight into the follow-up process. NordFlux builds this automation so your team reviews and approves while the AI handles the sorting.

The problem

The shared mailbox is the secret boss.

info@, accounting@ or sales@ collect everything: orders, invoices, complaints, newsletters. And every morning this mailbox decides how your team spends its first few hours.

  • 01Sorting, forwarding, following up: hours a day go into pure distribution work before anyone even starts on the actual content.
  • 02The same five questions keep coming in, and every time someone types the answer again or digs out the old email as a template.
  • 03Invoices and orders stay stuck as attachments in the mailbox instead of flowing on into accounting or inventory management.
  • 04Urgent matters get lost between newsletters and CC emails: the complaint from your regular customer waits until someone happens to scroll by.
Use cases
01

Automate your inbox: this is what the AI handles for you.

Five building blocks that we implement individually or combined, depending on the mailbox. The human remains the final authority, the AI does the groundwork.

01

Recognise requests and route them to the right person

The AI reads every incoming email and recognises what it is about: order, invoice, support case, application, complaint. The email then lands with the responsible team or straight in the right ticket, instead of sitting in the shared mailbox for days.

Saving 1–2 h of distribution work per day
02

Reply drafts from your knowledge base

For recurring enquiries the AI creates a ready-made reply draft, fed from your price lists, delivery times and internal documents. Your employee reads it, corrects it if needed and clicks send.

Saving 5–10 min per standard enquiry
03

Attachments straight into the follow-up process

Invoices travel into accounting together with their extracted data, orders into inventory management, delivery notes onto the relevant case. The attachment no longer has to be saved, renamed and retyped by hand.

Impact No retyping, no filing backlog
04

Escalation for urgent matters

The AI recognises complaints, deadline-critical items and fault reports from their content and alerts those responsible immediately, for example via a Teams message or call notification. Critical matters no longer wait until someone scrolls through the mailbox.

Impact Response in minutes instead of days
05

Sort and file emails automatically

Newsletters, read receipts and CC noise disappear from view, customer communication is filed to the right case in the CRM or ticketing system. What remains is an inbox that only shows what needs a decision.

Impact A tidy mailbox instead of a count above 1,000
Solution paths

Three ways to an automated mailbox.

Which path fits depends on your systems and your mail volume. We do not commit to a tool in advance, but after analysing your mailbox.

AI agents
The digital mail handler

An AI agent understands free text even without subject-line discipline, categorises requests and prepares replies. A tool does the same work step faster, an agent takes the work step off your hands.

n8n
The workflow engine behind it

n8n connects mailbox, CRM, accounting and inventory management into a traceable process. Self-hosted on German servers on request: your emails never leave your infrastructure.

Microsoft Copilot
When you are at home in Outlook

If your team works entirely in Microsoft 365, we build on Copilot and Power Automate directly in Outlook. No new interface, no new licensing landscape, the automation runs where your mails already are.

How we work

The 30-day model.

From the first analysis to a running mailbox in 30 days, at a fixed price instead of an open timesheet.

1

Initial analysis

We take a look at your mailbox: what comes in, who handles what, where it gets stuck. 60 minutes, free and without obligation.

2

Concept and fixed price

You receive a concrete proposal: which mail types get automated, which systems get connected, what it costs. One price, no surprises.

3

Delivery in 30 days

We build the automation, train the recognition on real emails from your daily work and test with your team before anything goes live.

4

Handover with control

Your team learns how to adjust rules and manage approvals. You keep control, and on request we stay on board for operation and fine-tuning.

The next step

Good replies need a well-maintained knowledge base.

The quality of the reply drafts stands or falls with the knowledge behind them: prices, processes, product details. If that knowledge still lives in people's heads and folders at your company, the internal AI knowledge assistant is the right first step.

Free initial analysis

How many hours a week does your team spend in the mailbox?

In the free initial analysis we work that out together and show which mail types pay off first for you. 60 minutes, no obligation, no sales pressure.

  • A concrete assessment instead of a sales pitch
  • A fixed-price offer only if it pays off for you
  • Operation on German servers possible
Frequently asked questions
05

What managing directors often ask about email automation.
