Automation · Quote Tracking

Automate quote tracking: no quote goes unanswered again.

Automated quote tracking means: after sending, the system follows up automatically at fixed deadlines, the quote status is maintained in your CRM, and you can see at any time which quotes are open, won, or lost. NordFlux builds this tracking on top of your existing quotes and systems. This isn't about creating the quote, it's about everything that happens afterward.

The Problem

The quote is out the door, and then it gets lost in the daily grind.

Writing a quote takes effort, but the deals happen in the follow-up. That's exactly what falls through the cracks, because no one has a reliable overview of which quote needs a response and when.

  • 01Follow-up relies on memory and sticky notes: whoever was in a meeting or on vacation forgets the reminder, and the quote fizzles out.
  • 02No one can say at the push of a button which quotes are open, how large the volume is, or where a decision is currently pending.
  • 03The close rate is a gut feeling, because lost quotes are never recorded anywhere with a reason.
  • 04The quote status lives in people's heads, email inboxes, and spreadsheets, but rarely completely in the CRM.
Use Cases
01

What we specifically automate in quote tracking.

We start where the quote leaves your company and follow it through to the decision. Each building block works on its own; together they form seamless tracking.

01

Automatic follow-up reminders to the customer

If no response arrives after a deadline you set, a friendly reminder goes out to the customer, worded from your own templates. You set the wait time, number of reminders, and tone, and the system sticks to it. If the customer responds, the sequence stops automatically.

Impact No quote falls through the cracks anymore
02

Maintain quote status in the CRM

Every quote gets a clean status: sent, followed up, in negotiation, won, or lost. If the customer opens the quote or replies, the status is updated in the CRM without any action on your part. This way, sales and management see the same up-to-date pipeline.

Savings 2–4 h per week

Follow-up tasks and reminders for sales

Where a personal response fits better than an automatic email, the system creates a task with context: which customer, which quote, which deadline. Your sales team works through a clear list instead of searching their inbox. Nothing falls through the cracks anymore.

Impact Every deadline is visible
04

Measure close rate and reasons for loss

Lost quotes are recorded with a reason: too expensive, too late, no budget, went to a competitor. This produces an analysis that shows how high your close rate really is and where you're losing quotes. Gut feeling becomes numbers you can use to steer your sales team.

Impact Close rate becomes provable
05

Follow-up messages in the right tone

An AI can draft the reminder to match the quote and the previous correspondence, in your own wording. A tool sends the same standard email faster; an agent drafts the reminder for the specific case. Approval stays with you, if that's how you want it.

Savings No manual drafting
Tools

Three ways to automate quote tracking.

Which tool fits depends on your systems: CRM, ERP, Microsoft 365, or a mix. We choose based on the use case, not our favorite tool.

Flexible and self-hosted
n8n

Connects your email inbox, CRM, and quote storage even when no ready-made connector exists, and controls deadlines, reminders, and status changes. Runs on German servers if you like, so your quote and customer data stays with you.

AI support
AI Agents

An agent reads the customer's reply, recognizes whether it's an acceptance, a question, or a rejection, and sets the status accordingly. A tool makes the same task faster; an agent takes the task off your hands.

Microsoft 365
Power Automate

If your quotes live in SharePoint or Outlook, Power Automate controls reminders and follow-ups directly there. Questions and approvals run as an approval in Microsoft Teams or Outlook, with no extra system.

How we work

The 30-day model.

From the first conversation to ongoing quote tracking in 30 days, at a fixed price instead of an open-ended hourly bill.

1

Free initial analysis

60 minutes, no obligation. We look at how many quotes are currently open for you, how follow-up works today, and where deals are being lost.

2

Concept and fixed price

You get a concrete proposal: which building blocks, which deadlines, which CRM, which price. We only start once you agree.

3

Implementation

We build the tracking around your quotes, deadlines, and systems. You test with real cases before any automatic reminder goes out to customers.

4

Handover and control

You see every rule and every status and can adjust or pause them yourself. Documentation and training are included in the fixed price.

From quote to customer

Tracking is part of your sales chain.

Anyone who tracks quotes cleanly usually also wants inquiries, contacts, and processes managed properly in the CRM. On the CRM automation page, we show how the whole chain from inquiry to close comes together.

Frequently Asked Questions
05

What managing directors and sales leaders often ask about quote tracking.

What's the difference from automated quote creation?

Quote creation ends with the quote being sent; quote tracking begins exactly there. It's about following up, maintaining status in the CRM, and evaluating which quotes were won or lost. Both can be automated separately; many customers start with tracking because that's where the fastest deals happen.

Doesn't automatic follow-up come across as pushy to customers?

Not if you set the rules: you determine the wait time, tone, and how often follow-up happens, for example a friendly reminder after seven days. The messages sound like you, because they're built from your own wording. In practice, a reminder is received better than silence, because many customers simply overlooked the quote in their inbox.

Does this work with our CRM or our ERP system?

In most cases, yes, either through an existing interface or through a workaround that we automate. We connect common CRM systems and ERP systems, but we always clarify feasibility for your specific system during the initial analysis. A lot can already be mapped even without an expensive CRM; switching systems is not a requirement.

Does the system send messages to our customers on its own?

Only as far as you allow. You decide whether reminders go out automatically or only after a click, and you see every rule in plain language. You stay in control and can adjust or pause any automation at any time, without having to call us.

What does it cost to automate quote tracking?

After the free initial analysis, you get a fixed price, depending on which building blocks you need and which systems are connected. A single building block, like automatic follow-up, is significantly cheaper than the complete tracking with reporting. There's no open-ended timesheet and no ongoing mandatory costs for our work.
