Copilot training determines whether the license saves working time or simply costs money. The most common mistake among SMEs is not the wrong license, but the missing second step: Copilot is rolled out, tried for two weeks, and then used like the old Office. A good training is therefore not a product demonstration, but work on the team's real workflows, with three building blocks: safe prompting in the work context, knowledge of data protection and permissions, and per role the two or three use cases that really save time. What must a Copilot training cover in terms of content?

  • Prompting in the work context: not prompt poetry, but the pattern instruction, context, source, format, practiced on emails, minutes, quotes, and evaluations from everyday work.
  • Limits and control: where Copilot hallucinates, how to check outputs, what never goes out unchecked. This is also the core of the AI competence that Article 4 of the EU AI Act expects from companies.
  • Data protection and permissions: Copilot sees what the logged-in user is allowed to see. Before the rollout, permissions and legacy data in SharePoint and OneDrive need to be cleaned up, otherwise the AI makes forgotten storage visible again.
  • Role-based use cases: Sales, accounting, assistance, and management use Copilot completely differently. A training that is the same for everyone is a training for no one.

Which formats work in SMEs?

A three-stage structure instead of a one-day event has proven effective: a compact kickoff for everyone, followed by role-based workshops in small groups on real tasks, and then a sparring phase in which questions from everyday work are answered continuously, on a contingent basis rather than a flat rate. The reason is simple: the most important questions only arise after two weeks of real use. A training without follow-up support never answers them.

What does it cost and which funding is realistic?

Compact team trainings range, depending on scope, in the four-digit range, well below the thresholds of the major funding instruments. Honestly assessed: the Qualifizierungschancengesetz only funds measures over 120 hours through AZAV-accredited providers, so typical Copilot trainings do not qualify, details in the article Qualifizierungschancengesetz and AI training. More realistic are the states' further education vouchers: in Mecklenburg-Vorpommern, for example, the Bildungsscheck of GSA Schwerin subsidizes company training with 50 percent up to 3,000 euros, provided the format is designed as work-process-related further education and not as a pure product training. What prerequisites does the company need before the training?

Before the training, there are two homework tasks. First, the license and permission question: who gets Copilot, and are the permissions in the Microsoft 365 tenant clean?
