Finally getting value from Microsoft Copilot instead of wasting licences
Many companies pay for Copilot without using it. Here is how to activate the existing licence value in everyday work.
Copilot licenses without training remain unused. What a good Copilot training covers, which formats work, and which subsidies are realistic.

Copilot training determines whether the license saves working time or simply costs money. The most common mistake among SMEs is not the wrong license, but the missing second step: Copilot is rolled out, tried for two weeks, and then used like the old Office. A good training is therefore not a product demonstration, but work on the team's real workflows, with three building blocks: safe prompting in the work context, knowledge of data protection and permissions, and per role the two or three use cases that really save time. In terms of price, a compact team training ranges, depending on scope, from the low to the mid four-digit range, and via state education vouchers such as in Mecklenburg-Vorpommern, subsidies of up to 50 percent are realistic.
A three-stage structure instead of a one-day event has proven effective: a compact kickoff for everyone, followed by role-based workshops in small groups on real tasks, and then a sparring phase in which questions from everyday work are answered continuously, on a contingent basis rather than a flat rate. The reason is simple: the most important questions only arise after two weeks of real use. A training without follow-up support never answers them.
Compact team trainings range, depending on scope, in the four-digit range, well below the thresholds of the major funding instruments. Honestly assessed: the Qualifizierungschancengesetz only funds measures over 120 hours through AZAV-accredited providers, so typical Copilot trainings do not qualify, details in the article Qualifizierungschancengesetz and AI training. More realistic are the states' further education vouchers: in Mecklenburg-Vorpommern, for example, the Bildungsscheck of GSA Schwerin subsidizes company training with 50 percent up to 3,000 euros, provided the format is designed as work-process-related further education and not as a pure product training. Whether this applies to your company is something we check in advance with the approval body, before you calculate costs.
Before the training, there are two homework tasks. First, the license and permission question: who gets Copilot, and are the permissions in the Microsoft 365 tenant clean? Second, realistic expectation management: Copilot is a tool for text, scheduling, and evaluation work, not a digital employee that takes over processes. Where entire workflows are meant to disappear, the field of AI agents begins, and the assessment of what your company needs first is provided by our Copilot consulting.
As a starting point, half a day of kickoff plus role-based workshops of two to three hours each are sufficient. What matters is less the number of hours than the follow-up support: the most valuable questions arise after two weeks of real use, which is why a sparring phase with a fixed hour contingent belongs to the format.
Partially. The major federal instruments such as the Qualifizierungschancengesetz only apply from 120 hours of measure scope and AZAV accreditation, so short trainings do not qualify. Realistic are state education vouchers, in Mecklenburg-Vorpommern up to 50 percent and 3,000 euros, provided the training is designed as work-process-related AI competence training. This should be clarified with the approval body before signing a contract.
The user interface is self-explanatory, productive use is not. Untrained teams, as experience shows, use Copilot for the same three tasks and overlook the use cases with real time savings, while sources of error such as unchecked figures or careless permissions go unnoticed. The training pays off in the difference between playing around and a work tool.

Microsoft 365 E7 has been available since May 1, 2026: E5, Copilot, Entra Suite, and Agent 365 in a single SKU. What it contains and who it pays off for.
A good training session teaches Copilot basics, but without the right license and clear rules, what was learned stays theoretical. NordFlux complements the training with license advice and governance, so Copilot actually lands in your real workflows.
