After closing time, the Z-report and the DSFinV-K export are fetched automatically from your POS system and transferred into the cash book, instead of being typed up the next morning. Revenue is kept separated by tax rate, with EC and card payments cleanly distinguished from cash. With multiple tills or branches, all daily closings feed into one overview that shows which till is still missing.

Count log and cash report for an open till

Anyone working without an electronic till counts the cash in the evening and works backward from the closing balance to the day's takings. For that, we provide a short input screen on a phone or tablet: enter the quantity of each coin and note, and the cash report calculates retrograde and stores itself unchangeably. The count log isn't mandatory in every case, but in an audit it's what makes your figures credible.

Private withdrawals, change float deposits, and cash deposits into the business account are the entries where a cash book falls apart in an audit. The workflow asks directly for the reason and the receipt with every withdrawal, instead of postponing it to later. The bank deposit is automatically reconciled against the withdrawal from the till so both sides match.

If the counted balance deviates from the target balance, the difference is recorded as its own line and assigned to the day and the till, not quietly corrected. Above a threshold you set, a notification goes to management. Over the weeks, this builds into an analysis that shows whether discrepancies are tied to a particular shift, till, or operating error.

Cash data on demand for audits and the tax office

A cash register inspection arrives unannounced, and then what matters is how quickly the cash data for the requested period can be put on the table. We store DSFinV-K exports, Z-reports, cash reports, and count logs so that a period can be output in one go. The same package goes to your tax office or accounting system monthly, in the agreed format instead of as a stack of photos.

The POS system, business account, and accounting software don't talk to each other on their own. n8n fetches the daily closing and the DSFinV-K export, reconciles the bank deposit against it, and passes the result on. On request, n8n runs on a server in Germany so your revenue data never leaves the building.

In that case, a software robot takes over exactly the clicks a person makes today: log in, select the period, export, save the file. What cash-handling businesses often ask about the automated cash book.

Is a cash book in Excel allowed?

A spreadsheet doesn't meet the requirement for immutability, because any row can be changed retroactively without the change staying visible. That's exactly the point where cash books are regularly rejected in audits. We therefore keep the cash book in a system with a log: every change stays visible as a change, instead of overwriting the original figure. Whether your specific setup is sufficient is assessed by your tax office, not by us.

We have a TSE in our till. Do we still need a cash book at all?

The TSE and the cash book solve two different tasks. The technical security device secures your POS system's individual records against subsequent manipulation, but it captures neither private withdrawals nor change float deposits, bank deposits, or cash discrepancies. The cash balance only results from both together. It's exactly that second half we automate.

Do we have to buy a cash register?

No, there is no legal requirement to use a cash register in Germany; the open till is still permitted. But if you use an electronic recording system, it must have a certified technical security device, and the use of such systems must be reported to the tax authority via ELSTER. With an open till, the daily cash report takes center stage instead. Which variant applies to you and which deadlines run should be clarified with your tax office.

We only do a cash-basis profit statement (EÜR). Do we need a cash book?

A cash-book bookkeeping obligation doesn't apply to you in this case, but the obligation to individually record your cash receipts does. In practice, many EÜR businesses still keep a daily cash report anyway, because otherwise they can't prove their cash receipts in an audit. The automation here is the same; only the resulting document is named differently. What specifically applies to your legal form is something your tax office can tell you.

What does it cost to automate the cash book?

The price depends on how many tills are connected and whether your POS system has an interface or has to be operated via its screen, so we won't quote a flat rate out of thin air.
