Automate accounting: receipt in, entry out, tax advisor happy.

Automating accounting doesn't mean typing individual invoices faster, it means building the entire pipeline: collecting receipts from every source, checking them for completeness, matching payments, and handing over the monthly package to your tax advisor. NordFlux connects your inbox, bank, cash register, company card, and accounting system into a single process for this. You see every step and continue to approve everything yourself.

The problem

Accounting isn't complicated, it's just scattered everywhere.

Receipts sit in the inbox, in supplier portals, in the till app, on the company card, and sometimes still in the glove compartment. At the end of the month, one person gathers it all, sorts it, and sends it to the tax advisor, and three weeks later the follow-up questions arrive.

  • 01Every month the same search: which receipt is still missing and who has it.
  • 02Incoming payments are matched against open invoices by hand, because no one else can do it.
  • 03Travel expenses and credit card statements arrive as a bulk email shortly before the deadline.
  • 04The tax advisor asks about a receipt from the previous month, and the business searches for half an hour.
Use cases
01

What we specifically automate in accounting.

This page describes the overall process from the business's point of view, not a single type of receipt. We build the pipeline from the receipt source all the way to the handover to the tax advisor.

01

All receipt sources in one place

Receipts come from the inbox, supplier portals, the till, the company card, and on paper. We automatically retrieve them from every one of these sources, name them consistently, and file them in your accounting or document system. The shoebox disappears, because no receipt depends on one person anymore.

Savings 3–6 h per month
02

Completeness checks instead of searching

The process knows which receipts must arrive regularly: rent, leasing, phone, recurring suppliers. If one is missing, the workflow itself contacts the person responsible, instead of someone hunting for the gap at month-end. You can see a list of what is still missing for the close at any time.

Impact no more receipt chaos at month-end
03

Payment matching and open items

Bank transactions are automatically matched and allocated against open invoices, even when the payment reference is messy. Whatever matches clearly is suggested, the rest lands in a short review list for you. On request, the result directly generates the reminder template for overdue customers.

Savings 2–4 h per week
04

Travel expenses and company credit cards

Employees photograph receipts with their phone, AI text recognition reads out the date, amount, and tax rate, and the item is assigned to the correct cost center and trip. We automatically pull the card statement from the portal and match it against the submitted receipts. Anything left without a receipt stands out immediately instead of only at the close.

Savings 2–5 h per month

Monthly package for the tax advisor

On the cutoff date, the process assembles the complete monthly package: sorted receipts, bank statements, cash book, open items, and hands it over to the tax advisor or into your accounting system. Follow-up questions about individual receipts are answered by a search in seconds, because every receipt is uniquely named and linked. Your tax advisor gets one clean package a month instead of an email chain.

Solution paths

What we use to build your accounting pipeline.

We are not tied to a single tool and do not replace your accounting system. We build the pathways to it, using whatever fits your environment.

Many sources, one process
n8n as the hub

Inbox, bank, till system, card portal, and accounting software don't talk to each other on their own. n8n connects these sources into a single pipeline and, on request, runs on a server in Germany so your receipt data never leaves the building. This is the usual approach when several systems are involved.

Microsoft 365 already in place
Power Automate for approvals

If you work with Microsoft 365, review and approval run directly in your environment: approval via Teams or Outlook, filing in SharePoint, a reminder to the deputy when someone is on vacation. Your existing licenses often already cover a large part of this.

Reading receipts
AI receipt recognition

Invoices, till receipts, and card statements are read out via text recognition instead of being typed in by hand. Whatever the system cannot recognize with confidence goes into a review list and is never silently booked incorrectly. We have written up how reliably this works in practice, and where the limits lie, in our knowledge section.

How we work

The 30-day model.

From the first conversation to a running accounting pipeline in 30 days, at a fixed price instead of an open-ended timesheet.

1

Free initial analysis

60 minutes, no obligation: we go through which receipts come from where in your business, who currently sorts them, and where the tax advisor regularly asks follow-up questions. Afterward, you know which part is worthwhile.

2

Concept and fixed price

You receive a concrete proposal: which receipt sources we connect, what the monthly package looks like, and what it costs. One figure, no surprises.

3

Implementation with real receipts

We build the pipeline and test it with your real receipts from a closed month, including the awkward edge cases. You compare the result with what your accounting did by hand.

4

Handover and operation

Your team, and your tax advisor on request, receive a briefing and documentation stating where you can intervene. On request, we take over operation with a fixed service level.

A single pipeline instead of the whole process

Only need one part of accounting?

This page describes the overall process from the business's point of view. For the individual parts, there are dedicated pages with more depth: Automate incoming invoices for the incoming-invoice workflow, DATEV interface automation for handing receipts over into the DATEV world, E-invoice automation for the structured invoice format, and Automation for tax advisors if you are the firm yourself.

Frequently asked questions
05

What businesses often ask about automated accounting.

What does it concretely mean to automate accounting?

Automated accounting means that receipts are collected from their sources, read out, allocated, and prepared for the tax advisor on their own, instead of someone gathering them manually. Booking still happens in your accounting system or by your tax advisor. What gets automated is the path there: collecting, checking, allocating, handing over.

Does automation replace our tax advisor?

No. The tax advisor remains responsible for booking, closing, and advice, automation takes over the groundwork that today stays stuck in your business. In practice, tax firms are usually glad about this, because they get a sorted monthly package instead of a bulk email with 40 attachments. On request, we coordinate the handover format directly with your tax firm.

Is automated accounting traceable enough for audits?

Whether your filing meets tax requirements depends on your accounting and archiving system, not on the automation. We never write past your filing system: receipts land unchanged in the system you already use for this, and every automated step is logged. What the automation decided and what a person approved is therefore visible afterward. Assessing the tax requirements remains with your tax firm.

Does this work with DATEV or our accounting system?

Yes. We do not replace your accounting system, but deliver the receipts and data in the format it expects, whether that is DATEV, Lexware, sevDesk, or an ERP module. If a system has no interface, a software robot takes over data entry through the interface. We have a dedicated page covering the DATEV pipeline in detail.

What does it cost to automate accounting?

The price depends on how many receipt sources are connected and how awkward the special cases are, so we do not quote a flat rate out of thin air. After the free initial analysis, you get a fixed price for a clearly defined scope, not an open-ended timesheet. If automation does not pay off for your volume of receipts, we tell you so in the first conversation.
