Microsoft 365 · Licenses

You should only buy Microsoft 365 licenses once it's clear who needs which one.

We look at who in your company needs desktop apps and for whom a mailbox is enough, and we also count the accounts under which only automations run. You then receive a written license recommendation. You can purchase the licenses through us as a CSP partner if you wish, but this is not mandatory.

The Problem

The license list has grown, and no one knows any more who needs what.

Over the years, the Admin Center accumulates licenses from various orders, a few Premium plans, and the mailboxes of former colleagues. Whether this still matches how the business operates often only becomes apparent at renewal time. By then, the window for changes closes again quickly.

  • 01Everyone has Business Standard, even the warehouse colleagues who only read emails and never open a desktop app.
  • 02The functional mailbox info@ occupies a full license, even though a shared mailbox of up to 50 GB works without a license.
  • 03The annual term has renewed, and only afterwards does it become apparent that licenses can only be reduced within the first seven days.
  • 04A flow with a Premium connector runs under a shared service account with a single Premium license that works for many users. Microsoft considers this multiplexing.
Use cases
01

What we specifically clarify regarding Microsoft 365 licenses.

The basis is your actual user list, not a sample company. In the end, every person and every account has a plan, or deliberately none.

01

Business Basic, Standard or Premium per role

Business Basic includes Word, Excel, PowerPoint and Outlook only in the browser and on mobile devices; Business Standard adds the installable desktop apps. Business Premium adds Intune, Entra ID P1, Defender for Business and Defender for Office 365 Plan 1 on top. For company laptops you want to manage centrally, Premium makes sense; for the warehouse, it's usually too much.

Effect Plan per role instead of a one-size-fits-all license
02

Exchange Online Plan 1 for pure mailbox users

Exchange Online Plan 1 is a mailbox with 50 GB, without Office apps, Teams or SharePoint. It is enough in the browser and in Outlook on the smartphone. For Outlook on a Windows PC or Mac, the user additionally needs a license with desktop apps, and anyone who needs more space gets a 100 GB mailbox and an archive of up to 1.5 TB with Plan 2.

Effect Mailbox without the Office package, where it's enough
03

Shared mailboxes and service accounts

A shared mailbox such as info@ or invoice@ does not need its own license up to 50 GB. Only with more storage, an archive, or litigation hold does a license such as Exchange Online Plan 2 become necessary. We check accounts under which automations run separately, since the rules of Power Automate apply there.

Effect No license on accounts that don't need one
04

Monthly or annual term

Licenses can be increased at any time. Reducing or cancelling is only possible in Microsoft's New Commerce Experience within the first seven days after purchase or renewal. Many products come with both monthly and annual terms, but not all: Microsoft names, for example, some standalone Exchange Online products. Which term applies to which product is stated in our recommendation.

Effect Flexible where the number of users fluctuates
05

Add-on licenses for Copilot and Power Platform

Microsoft 365 Copilot Business is an add-on for Business Basic, Standard and Premium and covers up to 300 seats per tenant. Power Automate is included in the Business plans only with standard connectors; for SQL Server, Dynamics 365 or a local data gateway, Power Automate Premium or Process is needed. With us, you buy an add-on license only for the people who actually use it.

Effect Add-on licenses only for actual users

How we work

How you get your licenses.

The request is handled by email; no appointment is needed for this. Purchasing through us is an offer, not a condition for the consultation.

1

Request by email

Write to kontakt@nordflux.de: how many users you have, which licenses currently run with which term, who your previous provider is, and when it should start. An export of the license overview from the Admin Center helps, but is not required.

2

Written license recommendation

You receive a breakdown of which user needs which plan, which mailboxes work without a license, and where a monthly or annual term fits. We state the price on request in the same document.

3

Provisioning via CSP

If you purchase through us, you accept our reseller request in the Microsoft 365 Admin Center and accept the Microsoft Customer Agreement. For administration, we separately request admin rights with narrowly scoped, time-limited roles (GDAP), which you explicitly approve.

4

Operation, adjustment and exit

As employees join or leave, we adjust the licenses. You can revoke admin rights at any time in the Admin Center. If your licenses are currently spread across different providers, we help with the move to us, so you get everything from a single source.

When the licenses are in place and the work still piles up.

Business Premium, E3 and E5 already include Power Automate with standard connectors. What can be automated with this without an additional license is shown in our license comparison.

Frequently Asked Questions
05

What companies often ask about Microsoft 365 licenses.

Which Microsoft 365 license does a business need?

The Business plans are designed for companies with up to 300 users: Basic with web and mobile apps, Standard with installable desktop apps, and Premium additionally with Intune, Entra ID P1 and Defender. Anyone who only needs a mailbox can get by with Exchange Online Plan 1. Business, Enterprise and standalone plans can be mixed within the same tenant, so it pays to decide per role.

Can Microsoft 365 be cancelled monthly?

Microsoft 365 can be cancelled monthly if you choose the monthly term: the subscription then renews every month and ends at the end of the term once automatic renewal is switched off. Within a term, licenses can only be reduced or cancelled within the first seven days after purchase or renewal, with a prorated refund. Not every product is available with a monthly term; we check this for each product.

What is Exchange Online Plan 1, and when is it enough?

Exchange Online Plan 1 is a pure email license with a 50 GB mailbox, without Office apps, Teams and SharePoint. It is sufficient for employees who handle mail in the browser or in Outlook on a smartphone. For Outlook on a Windows PC or Mac, the user additionally needs a license with desktop apps. Anyone who needs a 100 GB mailbox or an archive of up to 1.5 TB should take Exchange Online Plan 2.

From when do you need Microsoft 365 E3 or E5 instead of Business Premium?

You need Microsoft 365 E3 or E5 at the latest once more than 300 people are to receive a license, because the Business plans together are limited to 300 seats per tenant, while E3 and E5 are not. Below that threshold, E3 or E5 is only worthwhile for features that Business Premium does not have, such as inactive mailboxes in which the emails of departed employees are retained. Microsoft provides for the switch from Business to Enterprise as an upgrade.

Do we have to buy the licenses through NordFlux if you advise us?

We offer the option to purchase through NordFlux, but it is not mandatory: you can also implement the recommendation directly with Microsoft or through another partner. If you purchase through us, we become your CSP partner, more precisely an indirect reseller, which is why you will see us and our distributor ADN listed as partners in the Admin Center. You remain the owner of your tenant, can revoke our admin rights at any time, and can transfer the subscriptions to another partner.
