Automating test equipment management means: every measuring instrument has its own inspection deadline, the reminder arrives weeks before it expires, and anyone trying to issue an expired instrument sees the block on their phone. We assign calibration certificates from the external calibration body to the measuring instrument automatically, together with the new due date. We build this into the systems you already have, and we tell you honestly if your stock of test equipment needs a purchased test equipment management system instead.

The problem

The auditor asks which measuring instrument was used to inspect this batch, and the room falls silent.

The test equipment list sits in Excel, maintained by one person, opened by no one. As long as no auditor and no customer asks, nobody notices that three calipers have been past their calibration interval for a year and are still used every day.

An inspection deadline per measuring instrument instead of one shared interval for all

Every measuring instrument gets its own record with an inventory number, location, inspection deadline and next due date. The caliper in series production runs on a shorter interval than the micrometer set in the prototype shop that is touched three times a year, because the deadline depends on use and risk, not on the calendar. You set the intervals; we make sure the reminder reaches the responsible person 30 to 60 days beforehand and not on the due date.

Overdue measuring instruments are blocked, not just flagged

When the deadline expires, the measuring instrument automatically switches to the blocked status and issuing is refused: anyone who scans the QR code on the caliper gets a red warning instead of a receipt. This is the point at which a notice and a sticker regularly fail, because both rely on someone looking. The quality manager can lift a block with a documented reason, and this is logged so that in the audit it remains explainable who decided what and when.

The calibration certificate comes in and files itself

The calibration certificate from the external calibration body arrives as a PDF by email and, instead of getting lost in the inbox, is filed with the measuring instrument. We read out the inventory number, calibration date and result, attach the document to the record and set the next due date. If a certificate arrives for a number that does not exist in your system, or shows a result outside tolerance, the case goes to a person instead of passing through silently.

Batch dispatch to the calibration body with a delivery note and a replacement plan

From the measuring instruments due in the next quarter, one collective order is created instead of twelve individual shipments over the year. The system generates the delivery note, reports which measuring instruments are away at the same time, and points out the spots where no replacement device is then left on site. How long your calibration body takes, you know better than we do, so you set the lead time and we build it in.

Issue, return and history for each measuring instrument

Issue and return run via a scan on the measuring instrument: who has it, since when, at which workstation. This produces, as a by-product, the history you need in the audit, with every calibration, every result and every user on the record. The real value shows when a measuring instrument fails calibration: you then see within minutes who has used it since the last valid calibration and which inspections were run with it, instead of reconstructing that from shift logs.

Some QM and test equipment modules in older ERP or industry-specific systems have no interface, and the vendor no longer builds one. In that case a software robot enters calibration data and due dates the way a person would type them, only without transposed digits in the inventory number. This is the bridge when a system change is not on the agenda right now.

We start with one group, usually the hand-held measuring instruments of a production line, and keep the old Excel list running alongside for a few weeks. Only once both sides show the same due dates do we roll out to the rest of the stock.

What quality managers often ask.

How often must test equipment be calibrated?

No one prescribes a fixed interval for all measuring equipment. ISO 9001:2015 requires in section 7.1.5.2 that measuring equipment be calibrated or verified at defined intervals or before use, but it names no figure. You set the interval yourself, depending on frequency of use, stress, measurement uncertainty and on what an incorrect measurement result would cause in your operation. You will find reference values in the manufacturer's specifications and in relevant guidelines such as VDI/VDE/DGQ 2618 or DIN 32937. We do not name an interval for you; we make sure that the one you have defined does not slip through.

What exactly does ISO 9001 chapter 7.1.5 require for test equipment?

Section 7.1.5 of ISO 9001:2015 is titled Monitoring and measuring resources and requires you to provide and maintain suitable measuring equipment. Subsection 7.1.5.2 on measurement traceability becomes more specific: measuring equipment must be calibrated or verified at defined intervals against international or national standards, be clearly identified so that its calibration status is recognisable, and be protected against adjustment, damage and deterioration. You must also retain documented information as evidence of fitness for purpose, and that is exactly what the calibration certificate is. What these requirements mean in practice is a data-maintenance task, and that can be automated.

What happens if a measuring instrument fails calibration?

Then it is not enough to take the measuring instrument out of service: ISO 9001:2015 requires in 7.1.5.2 that you determine whether measurement results obtained with it earlier are still valid, and respond appropriately. In practice this means you must know retrospectively which parts or batches have been inspected with this measuring instrument since the last valid calibration, and, in case of doubt, inform the customer or re-measure. Without a clean issue and inspection history, this becomes a reconstruction from shift logs and memory, and that reconstruction costs more than the automation that records the connection from the outset.

Do we need dedicated test equipment management software for this?

Not necessarily, but beyond a certain size yes, and if so, we will tell you. With 50 to 300 measuring instruments, manageable intervals and external calibration, we automate deadlines, blocks, calibration certificates and issuing cleanly into your existing systems, without you having to introduce and maintain another piece of software. If, on the other hand, you run measurement system analyses using methods such as MSA, your own calibration with a measurement uncertainty budget, or an accredited laboratory in accordance with ISO/IEC 17025, you are better off buying a mature test equipment management system or the QM module of your ERP. In that case we help with selection and integration rather than selling you a rebuild that will hit its limits in three years.

Does this replace our external calibration body?

No, calibration must still be carried out by a suitably qualified body, and for traceable calibration this is, as a rule, an accredited laboratory or your in-house calibration service. No automation changes that, and we make no claims to the contrary here. What we automate is everything around it: due-date monitoring, batch dispatch with a delivery note, the return of the calibration certificate including its assignment to the measuring instrument, and release after it comes back. The calibration body provides traceability to national standards; we make sure that its certificate does not disappear into an email inbox.
