Crystal Reports in SAP Business One: keep it running or replace it
SAP Crystal Reports or Print Layout Designer in SAP Business One: differences, installation, and when switching is really worth it.

SAP Business One delivers reports and document printouts by default through two tools: the Print Layout Designer (PLD) and SAP Crystal Reports, version for the SAP Business One application. According to the SAP Help Portal, the Crystal Reports viewer is firmly integrated into SAP Business One, but anyone who wants to edit their own reports and layouts in the Crystal Reports designer must additionally install the Crystal Reports integration component. For companies looking to clean up their reporting landscape, a clear question arises: keep running Crystal Reports, or switch to the Print Layout Designer or other approaches? As of: August 2026.
What is already included in SAP Business One, and what needs to be installed separately?
The SAP Crystal Reports viewer is, according to How to Work with SAP Crystal Reports in SAP Business One a fixed part of the SAP Business One core product and runs without a separate installation. However, if you want to create or edit your own reports and layouts in the Crystal Reports designer, you need the SAP Business One data sources and the add-ins menu in the designer, and for that you must install the Crystal Reports integration component separately. The corresponding installation package, SAP Business One Crystal Report Integration Package.exe, is located in the folder Packages×64\SAP CRAddin Installation of the SAP Business One upgrade package. According to SAP Business One Administrator's Guide you additionally need Microsoft .NET Framework 3.5 and 4.5 for the Crystal Reports application itself, both on the server and on every client workstation, and each SAP Business One version only supports one matching Crystal Reports runtime version. For error messages related to Crystal Reports, or when a reinstallation becomes necessary, SAP points to the steps in SAP Note 2845037.
Crystal Reports or Print Layout Designer: what is the difference?
SAP Business One explicitly supports both tools for document printouts and layouts, the Print Layout Designer and SAP Crystal Reports, and according to SAP Help Portal you are free to choose which one you use. Through the Report and Layout Manager window, you manage Crystal Reports reports, Crystal Reports layouts, PLD layouts, and third-party layouts in one place, set print sequences, and export or import layouts. Crystal Reports also brings additional features that PLD, according to the documentation, does not offer: master layouts that can be applied to several document types simultaneously, for example a layout created for invoices also applied to quotes or delivery notes, plus a multi-language translator for reports as well as drill-down functions via link arrows in the preview.
What has recently changed regarding permissions and access?
SAP has progressively tightened access to external Crystal Reports files in recent versions. With version FP 2305 (July 2023), according to the change log, initially only superusers could open .rpt files in the preview. Since FP 2405 (April 2024), the superuser role alone is no longer sufficient: the explicit full permission "Preview External Crystal Reports File" under Reports in the authorization window is now required. Anyone using Crystal Reports in production should assign this permission specifically, rather than relying on blanket superuser rights. Since FP 2305, the integration has also supported the Authentication Service of SAP Business One.
Is switching away from Crystal Reports worth it?
The documentation does not give a blanket answer, and we do not provide one here either. For simple documents without multi-language requirements or master layouts, the Print Layout Designer included in the core product is often sufficient and saves the additional integration component. As soon as you need multi-language reports, cross-layout master templates, or drill-down functions, Crystal Reports, in terms of feature scope, remains the more comprehensive tool. We describe how SAP Business One data can be technically connected for reporting or automation beyond PLD and Crystal Reports, for example via the Service Layer, in our article on connecting SAP Business One. Before planning a migration, it is also worth checking SAP's Crystal Reports compatibility matrix under SAP Note 2329487, which records which Crystal Reports version matches which SAP Business One version. If your documents are closely interlinked with other automation workflows, we support you with the technical connection as part of our automation consulting.
