Power Automate is deeply anchored in Microsoft 365. If your company already works with Outlook, SharePoint and Teams, it is often already included in your licence and the obvious starting point.

Power Automate if you work within the Microsoft world. n8n if data sovereignty and complex logic matter. Zapier if you simply want to connect a few cloud tools quickly.

When Power Automate is the right fit

Power Automate plays to its strengths as soon as Microsoft 365 forms the basis. Approvals in Teams, document flows in SharePoint, notifications from Outlook: it all interlocks cleanly, without data moving to a third-party provider. Many companies already pay for the licence without using the automation value it includes.

When n8n is the better choice

n8n is worthwhile when data sovereignty takes priority or the logic becomes demanding. Because you can run it on your own server in Germany, sensitive data stays under your control. That is a strong argument especially for manufacturing companies and the public sector. At the same time, n8n also connects to specialised systems such as SAP or DATEV, for which the standard tools offer no ready-made building block.

When Zapier is enough

Zapier is the right choice when speed matters and the connected services are purely cloud tools. For simple chains, for example moving a lead from a form into a spreadsheet plus a notification, it is set up within minutes. As volume grows, however, the costs rise, and sensitive data runs through a US provider.

What really matters in the decision

The question of which tool is rarely the first one that counts. Three others matter more:

  • Where is your data allowed to reside, and what requirements apply in your industry?
  • Which licences do you already have, and what are you paying for anyway?
  • Who will maintain the automation later, and how easy is it to understand?

Is n8n GDPR-compliant?

n8n can be run on a server in Germany, so the data it processes never leaves your building. This makes GDPR-compliant use very achievable. What remains decisive is how the workflow is designed in detail.

Do I need additional licences for Power Automate?

In many Microsoft 365 plans, a basic level of Power Automate is already included. For certain premium connectors or higher volumes, additional licences may be required. We check this in advance so there are no surprises.

Can you switch tools later on?

A switch is possible, but it involves effort, because every platform has its own logic. That is why it pays to make a sound choice at the start rather than correcting it expensively later.
