Microsoft Bookings for SMEs: Appointment Booking Without an Extra Tool
Microsoft Bookings for SMEs: setup, buffer times, and how a booked appointment automatically triggers a workflow.

Microsoft Bookings is an online appointment booking tool that integrates into your existing Microsoft 365 subscription and does not need to replace a separate booking software. According to the official Microsoft overview of Bookings the app is included in most Microsoft 365 Business and Enterprise plans, including Business Premium, Teams Essentials, and the E1, E3, and E5 plans, and stores customer, staff, and appointment data in a shared mailbox in Exchange. For SMEs this is relevant because it means no additional contract and no separate data silo are needed. As of: August 2026.
How do you set up Bookings for your team?
You first create a booking page with the services offered and assign each service to the staff members who are allowed to perform it; after that, Bookings automatically handles availability checking based on the respective Outlook calendars. Customers reach the booking page via a dedicated address under book.ms, or alternatively Bookings can be opened directly from Outlook or Teams. Every service booked online can automatically be given a Teams meeting link, so virtual appointments are created without a manual extra step.
How does the buffer time between appointments work?
Buffer time lets you block time before or after an appointment without customers seeing that time as an appointment. According to the Microsoft documentation on buffer time the buffer time is factored directly into the staff member's calendar entry, so a one-hour appointment with a 15-minute lead buffer occupies a block of one hour and 15 minutes in the calendar, and no further booking is possible during that time. This is suitable for preparation, clean-up, or travel time between appointments, but it must be enabled and configured separately for each service.
How does a booked appointment trigger an automated workflow?
Using the Power Automate trigger "When an appointment is created (Bookings)", a new Bookings appointment can be fed directly into a flow, for example to automatically send an internal notification or transfer appointment data to another system. According to the Microsoft documentation on the Power Automate integration such flows can only be created by Bookings administrators, and a maximum of five appointment flows are possible per Bookings mailbox, regardless of how many people have admin rights for that mailbox. For individual appointments, fields such as customer name and customer email are directly available; for group bookings, you need to access the customer array via a loop.
Where does Bookings stop, and where is additional automation needed?
Bookings covers the appointment scheduling itself well, but it does not automatically connect appointments to upstream or downstream processes such as invoicing, a CRM update, or a multi-stage reminder chain. This is exactly where automation with Power Automate comes in, connecting the Bookings trigger to other systems without you having to leave Bookings itself.
Frequently Asked Questions About Microsoft Bookings
Do I need an additional license for Microsoft Bookings?
No, generally not, since Bookings, according to Microsoft, is already included in the common Business and Enterprise plans of Microsoft 365. Still, check your specific plan in the admin center, as individual pure Frontline or education licenses may have different terms.
Can I build more than five automated workflows per booking page?
Not via the direct appointment trigger, since according to Microsoft this is limited to five flows per Bookings mailbox. If you need more workflows, additional actions can be added within an existing flow instead of creating a completely new flow.
Do customers see the configured buffer time?
No, customers do not see the buffer time as a separate appointment, but it does affect the displayed availability, because the booking page only shows times in which both the appointment and the buffer time fit. With tightly packed calendars, this can mean that seemingly free slots are not bookable.
Is Bookings worthwhile for a one-person business?
Yes, precisely because no additional software license is needed, Bookings is already worthwhile for individual employees or self-employed people with appointment traffic, as long as a suitable Microsoft 365 subscription is already in place. The effort for the initial setup of a single service takes only a few minutes.
