When a mid-sized company brings its first UiPath robots into production, the question of the foundation quickly comes up: Does the UiPath Orchestrator work better in the cloud or on-premises? The decision looks technical, but it is really a question of cost, control, maintenance effort, and data sovereignty. We compare both paths honestly, without presenting either one as the only option.

What is the difference between UiPath Orchestrator in the cloud and on-premises?

The Orchestrator is the central control layer through which you deploy robots, set schedules, fill queues, and review logs. Functionally, you get the same job done in both variants; the difference lies in the operating model. In the Automation Cloud, UiPath operates the Orchestrator as SaaS and maintains it itself. On-premises, you install it on your own servers and bear the full maintenance burden.

An often overlooked point: according to the UiPath documentation, new features appear first in the Automation Cloud and reach the on-premises platforms only later, via the long-term-support versions of Automation Suite. Anyone who wants to use the full feature set early is structurally at an advantage in the cloud.

What does UiPath Orchestrator cost: cloud or your own server?

The pure license costs are the smaller part of the bill in this decision. Analyses of total RPA cost of ownership put the license share at only 25 to 30 percent of total costs, with the rest going to infrastructure, development, training, and maintenance (Nadcab, RPA Implementation Cost Breakdown). It is precisely these hidden 70 percent that shift between the two models.

  • Automation Cloud: Hosting, database, and maintenance of the Orchestrator are included in the subscription fee. You pay per robot and per user, without any server costs of your own. Getting started is predictable and possible without a large upfront investment.
  • On-premises: In addition to the robots, you need Windows Server, a SQL Server database, and, depending on the version, further components. According to 2025 Microsoft pricing, Windows Server Datacenter costs around 6,155 US dollars per 2-core pack, and SQL Server Standard around 3,717 US dollars per 2-core pack. On top of that come operations, backups, and failover.
  • Maintenance fee: On-premises licenses typically incur an annual maintenance fee of 20 to 22 percent of the license value. This item is missing from many initial calculations and makes the seemingly cheaper self-hosted option more expensive over the years.

What about control and maintenance effort?

The cloud takes work off your hands; on-premises gives you control. That is the real core of the decision, not the list price. Anyone without their own IT team for server operations regularly underestimates the effort behind self-hosting.

  • Updates: In the cloud, UiPath rolls out updates automatically. On-premises, you plan and test every update yourself, including compatibility with your robot fleet.
  • Operations: Cloud means no server upkeep, no patching the operating system, no database tuning. On-premises, all of that rests with you or your service provider.
  • Control: On-premises, you decide on maintenance windows, network connectivity, and version status yourself. This control is a real advantage when regulatory or internal requirements demand it, and a burden when nobody actively takes it on.

Data sovereignty and GDPR: where is the data stored?

When it comes to data sovereignty, on-premises has a clear, tangible advantage: the data never leaves your building. With the Automation Cloud, it depends on the variant. For the standard Automation Cloud, UiPath selects the region automatically according to the UiPath documentation on data residency; a free choice of region is only available with Automation Cloud Dedicated, where you set the cloud region during onboarding.

For many SMEs in the DACH region, this is the point where the discussion tips. Anyone who automates sensitive process data and must be able to prove a specific server location quickly hits the limits of the standard cloud and needs either Automation Cloud Dedicated or self-hosting. For standard processes without special requirements, on the other hand, the cloud is usually uncritical. This trade-off belongs at the beginning of the planning, not the end, similar to the fundamental question of the right tool.

Cloud or on-premises: what suits the mid-market?

For most growing mid-sized companies without dedicated server upkeep, the Automation Cloud is the more pragmatic starting point. It shifts maintenance and update risk to the provider and makes costs predictable. On-premises plays to its strengths when data sovereignty, existing data centers, or fixed compliance requirements tip the scales and IT genuinely handles operations.
